Clear expectations for a product built around trust.

These terms govern use of Ghost Inventory, Demo Mode, AI-assisted features, reports, encrypted Ghost Cloud, recovery access and related support services.

1. Acceptance

By creating an account, accepting these Terms in the app, or using Ghost Inventory, you agree to these Terms of Use and acknowledge the Privacy Policy. If you do not agree, do not use the service.

Optional consent to receive product news or preparedness tips is separate from the acceptance required to use Ghost Inventory and can be changed later.

If you are not legally able to enter a binding agreement where you live, use Ghost Inventory only with the involvement and permission of a parent, guardian, or other person legally authorized to act for you.

2. Accounts and security

You are responsible for providing accurate account information, protecting your sign-in credentials, controlling access to your devices, and promptly reporting suspected unauthorized access. Optional Google Sign-In is provided through Google’s sign-in services and is also subject to the applicable Google terms.

Do not share passwords, recovery passphrases, encryption keys, or private-vault files with anyone who is not authorized to access them. Ghost Support will not ask you to send a plaintext recovery passphrase or private key.

3. Free and paid plans; Google Play billing and AI top-ups

Plan limits may differ for properties, rooms, items, AI scans, reports, and Ghost Cloud. Current limits appear in the app. The Free plan includes the limited monthly allowances shown in the app; paid plans provide the benefits shown in the app and applicable Google Play offer.

Paid subscriptions are purchased and managed through Google Play. Google Play shows the final localized price, billing period, applicable taxes, and purchase terms before payment. Auto-renewing subscriptions continue until cancelled through Google Play. Cancelling normally stops future renewal while paid access continues through the current paid period shown by Google Play. Deleting the app or Ghost Account does not automatically cancel a Google Play subscription.

AI scan top-ups are separate one-time Google Play purchases and do not auto-renew. Top-up scans are designed not to expire by time while they remain associated with an active Ghost Account, and the monthly plan allowance is consumed before available top-up scans. Top-up credits are service credits, are not transferable between Ghost Accounts, and are not cash or a stored-value account.

Google Play controls the applicable purchase, refund, and chargeback process. If Google Play reports that a top-up was refunded, reversed, charged back, or voided, Ghost may revoke the credits attributable to that purchase. If some of those bonus credits were already consumed, Ghost may offset the corresponding amount against future bonus-credit availability to prevent duplicate value.

When a paid entitlement expires or the account is otherwise downgraded to the Free plan, Ghost does not delete the existing local vault solely because of the downgrade. Existing local records remain available, while new activity can be limited by the current Free plan. New Ghost Cloud backups are paused.

If an eligible encrypted Ghost Cloud backup exists when the account moves from a paid plan to Free, Ghost may keep the latest encrypted snapshot and its encrypted cloud attachments available for restore for up to 90 days after the downgrade. After that period, the retained backup is blocked from restore and queued for deletion through Ghost’s scheduled retention process. Resubscribing after the retention period has expired does not make an already-expired backup restorable again.

4. Your content and responsibilities

You retain responsibility for the records and files you add. You must have the right to photograph, upload, store, process, export, and share that content. Do not use Ghost Inventory to store unlawful content, violate another person’s rights, bypass security, abuse AI services, or interfere with the service.

You are responsible for reviewing item details, values, attachments, claim information, and reports; keeping original documents where appropriate; and updating records when ownership, condition, coverage, or value changes.

Do not submit media containing unrelated people or highly sensitive personal information unless you have a legitimate reason and the right to process that information.

5. Demo Mode

Demo Mode is a read-only sample experience kept separate from a real Ghost Account and private vault. Demo actions use sample content and do not create permanent inventory records, consume real AI credits or the Free monthly report allowance, make real purchases, or perform real Ghost Cloud backup and restore.

Demo previews are educational examples only. They are not evidence of ownership, appraisals, insurance advice, claim submissions, or user records.

6. AI Scan, Batch AI, Document Organizer, and Walkthrough AI

AI-assisted features are optional. AI Scan analyzes an item image you deliberately submit. Batch AI can analyze up to 5 selected item photos as separate scans. Document Organizer can analyze up to 5 selected receipt/document files at a time; in the Android launch build, the first page of a PDF is used for AI analysis. Normal Walkthrough AI analyzes prepared still views extracted locally from a temporary room recording rather than sending the full temporary recording as the normal analysis payload.

Walkthrough AI credit accounting is item-oriented: a usable distinct item can consume one scan credit, while empty or unclear views, automatic retry, repeated analyzed views of the same serialized item within the Walkthrough, and bounded value verification do not create an additional user credit for that same found item.

AI output can be inaccurate, incomplete, or outdated. Suggested names, categories, brands, models, serial information, conditions, document matches, confidence, and replacement-value guidance must be reviewed before saving or confirming changes. AI guidance is not a professional appraisal, insurance valuation, coverage decision, settlement amount, or promise of reimbursement.

High-value, rare, collectible, jewellery, artwork, antique, vehicle, or specialized items may require a qualified professional appraisal, provenance records, or other independent evidence. Ghost may intentionally provide a broad range or recommend appraisal rather than claim unsupported precision.

7. Reports, Claim Center, and insurance preparedness

Summary Reports, Claim Snapshots, Full Evidence Reports, Claim Center, readiness guidance, and related exports organize user-selected inventory, incident information, and supporting files for preparedness and communication with insurers or other authorized recipients.

Ghost Inventory is not an insurer, insurance broker, adjuster, lawyer, or professional appraiser. A Ghost report or readiness score does not create insurance coverage, prove ownership by itself, determine cause of loss or claim eligibility, provide a legal certification, require an insurer to accept a record or stated value, or guarantee reimbursement.

You control when and with whom reports or claim evidence are shared. Follow your policy, insurer, legal, and professional requirements and keep original source documents when appropriate.

8. Encrypted Ghost Cloud

Eligible paid plans may back up supported sensitive vault content and attachments to Ghost Cloud. The Android launch build is designed to encrypt supported private-vault data on the device before upload. Ghost may retain limited readable operational metadata needed to authenticate accounts, verify purchases, apply limits, operate synchronization, perform security checks, and support the service.

No storage or network service is guaranteed to be uninterrupted or immune from every device, software, provider, or security failure. Ghost Cloud is a recovery feature, not the only copy you should maintain for critical or irreplaceable evidence.

9. Recovery passphrase and encrypted vault access

The recovery passphrase protects access to the encrypted private-vault backup. Ghost Inventory does not store the plaintext recovery passphrase and cannot retrieve or display it for you.

You may replace a lost or compromised recovery passphrase only from an already unlocked vault or trusted unlocked device after re-authentication. Creating a replacement re-wraps the same vault key and invalidates the previous recovery passphrase.

You are responsible for securely saving the current recovery passphrase. If it is lost and no usable unlocked vault or trusted unlocked device remains, or no successful encrypted backup exists, encrypted cloud content may be permanently inaccessible. Ghost cannot bypass the encryption or reset access from the Ghost Account password alone.

10. Account and data deletion

You can request account deletion inside Ghost Inventory or through the public Delete Account page. Server-side deletion targets the Ghost authentication account, encrypted cloud snapshot, stored cloud attachments, and account-linked service records, subject to limited records that may be retained for legal, billing, fraud-prevention, dispute, or security purposes.

When deletion is completed inside the app, Ghost is designed to remove that account’s private vault and Ghost-owned evidence files from the current device after server-side deletion succeeds. A deletion request submitted through the website cannot remotely erase data stored on a device you control, so you should clear Ghost Inventory app data or uninstall the app on any remaining device if you want those local copies removed.

Account deletion does not automatically cancel a Google Play subscription. Subscriptions must be cancelled separately through Google Play. Unused AI top-up credits are associated with the Ghost Account and are not recoverable after that account is deleted.

11. Service changes, third-party services, and availability

Ghost Inventory is launching first on Android. Public availability begins only after the production release is approved and published. Any planned future platform or feature is not guaranteed until released.

Ghost may update features, limits, security requirements, supported providers, or platforms and may restrict access when reasonably necessary to address abuse, fraud, security threats, legal requirements, or material violations of these Terms.

Mobile operating systems, device storage, network providers, Supabase, Google, Google Play, OpenAI, email/website providers, and other third-party services can affect availability and may be governed by their own terms and privacy practices.

12. Disclaimers and limitation

Ghost Inventory is provided on an “as is” and “as available” basis to the extent permitted by law. Ghost does not guarantee uninterrupted operation, perfect AI accuracy, recovery of every file, acceptance of reports, insurance coverage, claim approval, a particular valuation, or any particular financial outcome.

To the extent permitted by applicable law, Ghost is not liable for indirect, incidental, special, consequential, exemplary, or punitive losses arising from use of or inability to use the service, inaccurate records, lost recovery information, device loss, insurer decisions, or third-party services. Nothing in these Terms limits statutory warranties, consumer rights, remedies, or liability that cannot lawfully be excluded or limited.

13. Governing law

These Terms are governed by the laws of Alberta and the applicable federal laws of Canada, without limiting any mandatory consumer-protection or other non-waivable rights that apply where you live.
